Editing Drop Down Lists

One of the best ways to make ACT! by Sage "your own" and speed up data entry, and searching, is to customize drop-down boxes field choices - or List Values - to better match your business needs. Eliminating excess tags, or changing existing values cleans up the screen, and gets you to important data quicker.

Note: While you can free-form enter a value in a drop-down list box, that does not change the underlying values.  Your free-form entry will "stick" for the record you edited, but it will not become a permanent part of the field values.

Clicking on a List Box shows you the choices available for that field. Every list box that comes with the default layout in ACT! has the option at the bottom to Edit List Values...


















Clicking that brings up the editing window with *all* the values assigned to that field:















Most list boxes, with the exception of State, come with either too many values, or values that just don't match your business requirements.  There are three options in this window:

  1. Add, which adds a blank line for you to enter a value
  2. Delete, which removes the highlighted line
  3. Double-Click on the field, and your cursor will be placed in that field in edit mode - just change/over-type/etc the existing value.
    Note: this works for Value *or* Description
